PropertyAgent is operated by Rubytech LLC, registered in Georgia. This policy explains how we collect, use and protect your personal data when you use PropertyAgent or visit propertyagent.ai.

1. What We Collect

When you apply for the pilot program or sign up for PropertyAgent, we collect:

• Your name
• Email address
• Phone number
• Agency name
• Any additional information you provide in your application

For digital twin creation, we also collect video and audio recordings of you with your explicit consent.

2. How We Use Your Data

• To contact you about PropertyAgent (setup calls, updates, support)
• To create and operate your digital twin
• To send messages on your behalf via WhatsApp
• To send email confirmations and updates
• To improve PropertyAgent based on how the service is used

3. Digital Twin Data

Your video and voice recordings are used solely to create your digital twin. This data is stored securely and is never shared with third parties except as necessary to provide the service (e.g., AI processing).

4. Email Processing

Confirmation and notification emails are sent via SMTP using Nodemailer. Your email address is shared with our SMTP provider solely for the purpose of delivering these messages.

5. Third Parties

We do not sell your data. Third parties that may receive personal data:

• Our SMTP email provider (for sending emails)
• AI processing services (for digital twin creation)
• WhatsApp Business API (for messaging)

6. Cookies

propertyagent.ai does not currently use analytics cookies or tracking scripts. If this changes, we will update this policy and notify you.

7. Data Retention

We keep your account data for as long as our service relationship is active. You can request deletion of your data at any time by emailing us, and we will remove it within 30 days.

8. UK GDPR

If you are in the United Kingdom, the following applies under the UK General Data Protection Regulation:

• Lawful basis: We process your data based on legitimate interest (providing the service you requested) and your consent (when you apply for the pilot).
• Your rights: You have the right to access, correct, delete, restrict processing and port your personal data. You may also withdraw consent at any time.
• Complaints: You may lodge a complaint with the Information Commissioner's Office (ICO) if you believe your data rights have been infringed.
